Give each graphic a defined role

For a Miami Beach shoot, the same logo might appear on wardrobe, a camera prop or merchandise offered to the public. Those uses belong in separate parts of the production brief. Decide the role before approving the graphics order.

The City of Miami Beach Film and Print guidelines distinguish film production from special-event activity and identify unauthorized branding, promotional activities and sampling as potential violations. A filming arrangement should not be treated as automatic permission for a public promotion.

Create a graphics use record

Our recommendation is to have the production coordinator and art department identify each item's intended use together. The record can travel with the approved artwork without becoming a substitute for the city's decision.

  • Wardrobe: identify who wears the item and whether it appears on camera.
  • Prop: identify the object, scene and person controlling its use.
  • Public-facing material: identify displays, giveaways or sampling activity outside the filmed scene.
  • After the shoot: record whether items are retained, reused or distributed.

Send the actual activity description to the appropriate city office or production-permit contact when scope is unclear. A purchase order for printed graphics does not resolve that question.

Approve the filmed appearance separately

For wardrobe and props, review the proposed graphic at its intended size in the production's lighting and framing. This is our suggested review method, not a guarantee about camera appearance. Keep the approved design version attached to the item it belongs on.

Imagine a shoot orders branded prop bottles and later decides to hand matching items to passersby. This is a hypothetical example. Treat the giveaway as a changed use and have the production coordinator confirm its authorization before adding it to the order.
